Receipt Maker Guide: Create a Clear Payment Receipt

What to put on a receipt
- Business or seller name and contact details.
- Customer name, when the transaction warrants it.
- Itemized description, quantity, and unit price.
- Subtotal, tax, discount, total, and currency.
- Payment date and payment method.
- A unique receipt number and, if relevant, a tax or registration ID.

Receipt numbering
A consistent numbering scheme makes reconciliation possible. Common patterns are a plain running counter (0001, 0002), a year prefix (2026-0001), or a location or channel code (WEB-0001). The rules that matter: numbers never repeat, gaps are explainable, and the sequence is easy to sort. Record the same number against the underlying bank or card transaction.
Receipt versus invoice
An invoice requests payment; a receipt confirms it. An invoice is issued before money moves and often lists due dates and payment terms. A receipt is issued after and states the amount actually received and any balance remaining. Some businesses send an invoice, then a receipt once the invoice is settled.
Print and privacy
Preview the receipt before printing or saving as PDF, and check that totals, tax, and the date are correct. Do not include unnecessary sensitive data: no full card numbers, no CVV, no more of the customer's address than the transaction needs. Keep your own copy with the transaction record for the retention period your tax authority requires.
Common mistakes
- No receipt number, so the payment cannot be traced later.
- Tax shown as a line but not added into the total.
- Reusing a number from a voided receipt.
- Labelling an unpaid document a "receipt" when it is really an invoice.
